How we handle your and your child's information

Smash Serve Pty Ltd ("Smash Serve", "we", "us") respects your privacy and is committed to protecting the personal information of both parents and children in our programs. This policy explains what we collect, why, how we use it, and the choices you have. We handle personal information in line with the Australian Privacy Principles under the Privacy Act 1988 (Cth).

01 Information we collect

To run our programs safely and keep you informed, we collect:

  • Parent/guardian details — your name, email, phone number, and billing information.
  • Child details — your child's name, age or date of birth, skill level, and any medical conditions, allergies, or special requirements you choose to share with us.
  • Participation records — attendance, skill levels achieved, and match results within the program.
  • Photos and video — images or recordings taken during sessions, where you have consented (see section 5).

We only collect medical information you provide so we can keep your child safe during activity.

02 How we use it

We use this information to:

  • Register your child and run our coaching programs and Sunday league.
  • Communicate with you about sessions, schedules, progress, and payments.
  • Respond appropriately in the event of injury or a medical situation.
  • Maintain registration and insurance through our affiliated sporting bodies.
  • Display league standings on our members' ladder (see section 4).

We do not sell your personal information, and we do not use it for advertising by third parties.

03 Who we share it with

We share personal information only where necessary to run the program:

  • Badminton Victoria and Badminton Australia — for membership registration, insurance, and competition records, as required for our affiliation.
  • Our registration and payment providers — such as our membership platform (revolutioniseSPORT) and payment processors, who handle registration and billing on our behalf.
  • Venue operators — only where required for access or safety.

These parties are required to handle your information securely and only for the purposes above. We do not share your information with anyone else without your consent, unless required by law.

04 The league ladder

Our Sunday league has a ladder that shows standings to our families. To protect children's privacy:

We only ever display a child's first name and last initial (for example, "Mia L.") alongside their match statistics. The ladder is hosted on a private page that is not indexed by search engines and is shared only with enrolled families. We never publish a child's full name, photo, or contact details on the ladder.

If you would prefer your child's name not appear on the ladder at all, let us know and we will use initials only or omit them.

05 Photos and media

With your consent, we may take photos or video during sessions for promotion, marketing, and reporting. You can opt out at any time.

To opt out of photography or media use, email us at admin@smashserve.com.au and we will respect your request. You can change your preference at any time.

06 How we store and protect it

Personal information is stored in our registration and administration systems, protected by access controls and the security measures of our service providers. We keep information only for as long as needed to run the program and meet our legal and insurance obligations, after which it is securely deleted or de-identified.

07 Your choices and rights

You have the right to:

  • Ask what personal information we hold about you or your child.
  • Request corrections to inaccurate information.
  • Request deletion of your information, subject to our legal and insurance obligations.
  • Withdraw consent for photos or ladder display at any time.

08 Children's privacy

Our programs are for children and young people aged 5 to 18, and we take particular care with their information. All information about a child is collected from and managed with their parent or guardian. We minimise what we collect about children and limit how it is displayed and shared, as described throughout this policy.

Where your child is registered as a member of Badminton Victoria or Badminton Australia, those bodies also handle certain personal information under their own privacy policies, available on their websites.

We may update this policy from time to time. The current version is always available on our website, with the "last updated" date shown at the top.
